Position: Coordination Manager

Start: ASAP

Duration: Initial approx 6 months 

Location: Milsons Point or Parramatta 


Are you an experienced Coordination Manager looking for an exciting new opportunity with a NSW Government Agency? If you have a thorough understanding of the machinery of government, have meticulous attention to detail and pride yourself on juggling a complex portfolio of conflicting deadlines then this role is ideal for you!


This division (planning focussed) are going through a dynamic and exciting period following internal mergers and are looking for an outstanding Coordination Manager to directly assist the Executive Director alongside his executive assistant.


Key accountabilities

  • Coordinate & facilitate the Division’s business planning, budgeting, forecasting & KPI reporting processes
  • Provide advice & guidance on purchasing, procurement processes, contracts & variations for goods & services required for Sydney Planning
  • Manage external relations, media enquiries, parliamentary enquiries, House Folder Notes & prepare Briefing Notes & papers
  • Provide timely & strategic advice & operational support on all matters in consultation with relevant areas as required, to ensure the Executive Director is fully briefed on key issues & projects
  • Advise on the reporting outcomes & ensure emerging trends are highlighted & issues effectively managed
  • Manage specialist projects including identification & analysis of unresolved &/or emerging issues & risks on behalf of the Executive Director, internal HR support projects, urgent correspondence & meeting agendas
  • Undertake research & prepare quality, accurate & often sensitive analyses, reports, briefings or positions papers to inform the Executive Director
  • Undertake quality assurance of material submitted to the Executive Director to ensure the Division provides coordinated, accurate & well analysed advice & information to the Deputy Secretary, Secretary and Minister(s)
  • Assist with the identification & analysis of unresolved &/or emerging issues & risks to which the Directors will need to respond, & coordinate advice from subject matter experts to develop timely solutions
  • Collaborate & build effective relationships with senior staff within the business unit & stakeholder groups to facilitate the exchange of information & ensure a cohesive approach & response



Key challenges

  • Provide timely, accurate & significant coordination & analytical support to ensure delivery of complex programs & initiatives, covering numerous delivery partners, shifting priorities & conflicting stakeholder interests
  • Working across a wide range of subjects & providing high level & quality analysis & advice often at short notice & under pressure
  • Working in an environment of competing & changing priorities & managing these priorities to deliver in the required timeframes
  • Exercising judgement in the transfer of information & advice in support of the Executive Director’s achievement of their division’s goals & objectives
  • Identification & management of risk exposure & potential problems for the Executive Director, including implementation of appropriate solutions



Essential requirements

  • Prior experience in a coordination management role (executive officer experience considered)
  • Knowledge of the machinery of Government including State Government priorities
  • Exceptional attention to detail
  • Team player
  • Excellent deadline management skills including the ability to hold senior directors accountable for project deadlines
